Getting Started with the Migration Wizard

The StarfishETL Cloud migration wizard lets you migrate your CRM data quickly and easily. It moves your most important CRM data, including custom fields. You choose how much or how little you’d like to migrate and complete the project at your own pace. Your Migration Checklist

Before you get started with the Wizard, we recommend reviewing our Cloud migration checklist. If you can answer all of the questions "yes" then you are ready to embark on your migration experience! 

  • Are you able to access each CRM via the Internet?
  • Do your logins provide access to the data you want to move?
  • Does each CRM support API access? Not all editions/versions allow API access.
  • Has your database been cleared of duplicate and outdated information?
  • Are you moving custom fields? Is the mapping configured in your new CRM?
  • Do you have a credit card handy? Payment must be submitted for full migration. 

Step 1: Register for a New Account

Register your email and password with the Wizard so you can log back in to your projects at your convenience.

Step 2: Select your Migration Path

The Starfish Migration Wizard needs to know how to map your data from your current CRM to your new CRM. Selecting which systems you are migrating to and from tells the Wizard how to move your data.

Steps 3 & 4: Set Up Access to Each System

The next two steps enable Starfish to access each system. The Wizard will ask for your login credentials for each. Depending on the CRM, we may need additional login parameters such as your specific CRM URL.

Enter the credentials for your origin system. Your origin system is the CRM you are moving FROM.

Just as you did with the origin connection, enter the proper credentials for the destination. Your destination system is the CRM you are moving TO.

Step 5: Accept or Modify your Data Migration

At this point in the migration, you’ll verify the entities you want moved. You’ll also add any custom fields. Make sure your custom fields are set up in your origin and destination systems before attempting your migration.

Step 6: Test your Migration

Now you’ll run your test data load. The Wizard will test 10 records to make sure your connection is running correctly. If the test load is successful, the program will notify you. If it fails, the Wizard will display a report explaining the errors. Find and fix the errors, clear your test load, and try again.

Step 7: Payment

You decide how much of your data you want to move and how much you want to spend. As you check and uncheck boxes, you’ll see the pricing at the bottom of the page adjust to match. Once you’re satisfied with your choices, enter your credit card information to our secure BluePay system to proceed.

Step 8: Perform Full Migration

Well, this is exciting! This is the big moment – the full data load from one CRM to another. Feel free to log out while it runs. The load will run in the background even if you’re not logged in.

You can see the progress of each migrating field as a percentage. A successful field migration will show as 100% and be marked ‘Complete’ once it has fully migrated. Any errors with migrating fields will display throughout. You’ll be emailed a report when the migration is complete so you can review fields and resolve errors. Be sure to go into your new system to view the results.

Cloud migration is the process of moving your data from one CRM system to another through an exclusively Cloud based platform instead of downloaded software on your computer. The Cloud migration wizard guides users through the migration process step-by-step to completion, so you don’t have to be an IT genius to use it.

To get started with the migration wizard, you’ll need the following:

  1. Log-in information for your old and new CRMs
  2. Clean data that’s ready to move
  3. A valid credit card

To get the most from your Cloud migration, you must start with clean data. Data cleaning (aka data preparation) is an essential part of a successful migration. Here are a few tips to keep in mind when preparing your data for migration:

  1. Make sure your custom fields are set up in your new system before trying to migrate, otherwise the newly migrated data won’t know where to go!
  2. Define what qualifies data as “good” or “bad” and use the rules to rid your system of anything that you’re not using or is no longer helpful. For example, if you have Leads in your system from 2005, it’s probably safe to discard them. Of course, these decisions are specific to your business, so make sure you discuss all data preparations with your team before execution.

The Cloud migration wizard supports the migration of the following fields: Accounts, Account parents, Contact, Cases, Leads, Products, Opportunities, Opportunity Line Items, Tasks, Events, Notes, Attachments

The Cloud wizard is currently configured for migrations to and from Salesforce, Microsoft Dynamics, SugarCRM, bpm'online, NetSuite, Sage CRM, Act and Infor CRM, but we’re adding new systems all the time! If your system isn’t in the wizard yet, you can still migrate using our on-premises application. Or, ask our team for help. The cost of your Cloud migration is based on the number of fields your migrating. For example, the base price of $495 may go up if you add several custom fields, or have a lot of accounts. Once you reach the payment page, you can adjust the cost of your migration before submitting the payment.
StarfishETL uses a combination of Amazon Web Services (AWS) and our own encryption to keep your data protected at all times. We will never access your data without your explicit permission.

Not to worry! If you leave the wizard at any time, you can pick up where you left off the next time you log in. The system remembers your project and saves it accordingly so you can return to it when you are ready.

The test load is necessary to make sure your systems are properly communicating. If you run a test load and it fails, there are errors in your mapping. The Wizard will display a report so you can reference where the errors are originating to solve the problem.
A full migration can take anywhere from a few hours to a few days to complete. It all depends on the amount of data you’re moving. You don’t need to remain signed in to the system to complete the full migration. The program will run on its own and send you an email when your migration is complete. However, feel free to check in on the migration as it moves along to make sure everything is translating properly. If you notice errors, you’ll have to go in and resolve them before those fields can be properly moved.
